Sponsor Details

Event Sponsor Benefits include:

  • One (1) 6’ tabletop with two (2) chairs, one (1) 10amp power strip, one (1) wastebasket for two and a half days of the conference (May 11-13), located in Marineland Ballroom and Foyer.
  • Your sponsor logo must be submitted by April 10, 2026, to be included on:
    • A meter board recognizing all event sponsors
    • The event website and email communications
    • A one-page document, distributed to attendees onsite
  • One (1) registration to the meeting. 

Set-Up Note: All tabletop materials must remain entirely behind your 6’ table, may not exceed 6’ in height, and must not extend into the aisles.

We recommend 1 to 2 pop-up banners to put behind your table, marketing collateral, and a branded tablecloth for this event. Contact vrmaexhibits@vrma.org if you have any specific questions pertaining to your tabletop setup. Sponsors are free to bring additional extension cords and power strips in case more outlets are needed than what is included in the tabletop package.

Note: We will not have overnight security in the Ballroom and Foyer, so please do not leave any valuables in your booth.

Sponsor Registration

Once you submit the VRMA Contract Application, you will receive a separate email containing your company's complimentary registration code. If you need this re-sent to you or if you need to purchase additional registrations, email vrmaexhibits@vrma.org

NEW! Each tabletop will now have a 2-amp power strip located at each tabletop.

Note: We will not have overnight security in the Salon, so please do not leave any valuables in your booth.

Shipping

Make sure you fill out our Shipment Tracking Form with as much detail as you can provide regarding any items you may be shipping to the Convention Center.
We will use this information to notify staff onsite when your package arrives so they may locate your boxes and bring them to your tabletop.

Please ship all material to the exact address listed below with a guest's name. Packages must arrive not earlier than: Monday, May 26th.

The Ritz Carlton South Beach is not responsible for any incoming or outgoing boxes and/or freight. Sponsors are responsible for correctly labeling packages with return address labels as well as contacting the carrier to schedule a pickup from the hotel. All event materials must be packed, labeled, and ready for pickup by 2:00 p.m.
